Think of your bookkeeper as your GP and your Accountant as your specialist. Accountants, like a specialist will often charge a premium rate for basic bookkeeping services. Finding a good bookkeeper to work in conjunction with your accountant is far more cost-effective.
A bookkeeper handles the day-in-day-out financial record keeping and reporting – the details of your business. This may consist of accurate recording of purchases, sales, receipts and payments in your accounting software by managing your supplier, customer and general ledger details. They bring the books to the trial balance stage. A BAS agent manages your business tax obligations with the ATO including GST and FBT.
An accountant specialises in the interpreting of financial information provided by bookkeepers to make important financial decisions about a business entity – the bigger picture of your business. Accountant specialisations include company and individual taxation and tax law, financial planning, business advice and consulting.
BAS Agents are registered with the Tax Practitioners Board who, among other things, oversee and regulate the supply of BAS Services to the public. BAS agents require a minimjm of 1000 hrs training and an exam to become certified. They are also required to hold professional indemnity insurance and undertake continual professional development to stay accredited. This ensures they are up abreast of regulatory changes so you stay compliant and avoid unnecessary penalties.
BAS Agents are permitted to represent you in dealing with the ATO in relation to your Goods and Services Tax (GST), PAYG Withholding (payroll), PAYG Instalment Payments, Fringe Benefits Tax (FBT) Payments, Wine Equalisation Tax (WET) Payments, Fuel Tax Payments and Luxury Car Tax (LCT).
Clients of BAS Agents benefit from “safe harbour” provisions which provide relief from penalties in the case of error or late lodgement by the BAS Agent. In March 2010 the ATO introduced legislation to regulate the bookkeeping industry, due to the varying levels of bookkeeping skills and experience available. There are harsh penalties for providing BAS services without being a Registered BAS Agent. Although a non-registered bookkeeper can still perform limited services, they must operate under the supervision of a BAS Agent.
Engaging our professional BAS Agent Services allows you 8 weeks following the end of the quarter, to comply with your BAS obligations. BAS Agents are subject to a Code of Professional Conduct which includes:
- Honesty and Integrity (when acting for you in relation to your money);
- Independence (always acting in your best interests);
- Confidentiality (unless directed, your information is totally confidential).
BAS Agents are subject to a range of administrative sanctions, civil penalties and obligations, one of which is the compulsion to hold Professional Indemnity (P.I.) insurance. BAS Registration ensures that while assisting organisations with their BAS Obligations, the BAS agent has the necessary:
- Qualifications;
- Experience;
- Competence; and
- Professionalism.

You can do your own bookkeeping and lodge your own BAS and IAS statement through your MYGov ID portal. We offer a service to help train you and, can review your BAS/ IAS at lodgement time if required. Like most do it yourself jobs they can be perfunctory. If you’re not trained or your systems and tax setting aren’t set up correctly it may lead to a more costly repair bill down the track. Using a qualified BAS agent also ensures that your accounts are kept compliant with changing tax regulations and you can utilise extended lodgement dates if required. Books that are maintained correctly will save you money in the long run as your accountant should not need to take as long to prepare your tax and company returns.

Yes, we hold Professional Indemnity Insurance which cover all of our Bookkeepers and clients. Our insurance meets the requirements of the Tax Practitioners Board that forms part of our registration. We are a Registered BAS Agent, CPA, and Member in Practice of the Institute Of Certified Bookkeepers as well as holding XERO and MYOB certification.
No, there are no locked-in contract periods. We work on the principle that if we meet your expectations, there is no need for a fixed contract period. A client agreement will be entered into with you that outlines the services you engage us to provide. You can terminate our services at any time if you feel we are not meeting your service expectations.
Fees can vary depending on which services you require and the extent of the service agreement we have with you. We prefer a fixed price billing but can also charge an hourly rate where required. The billing arrangements will be discussed and agreed with you prior to commencement and outlined in your client agreement. See pricing schedule for more details.

Should you choose to discontinue our services; if your file is maintained under our software license, we will transfer the file license on your purchase of the appropriate accounting software. Any documents we hold are also returned to you. We will keep copies of documents as required by law to support any work completed for you, and lodgements submitted on your behalf. If you hold your own accounting software subscription you can easily move the administration to your new service provider.
Yes with your written authorisation as required.
Yes, with your completion of our appointment as a BAS agent form, we will lodge required documentation to the ATO such IAS, BAS, TFN Declarations, TPAR, Super guarantee report and Payment Summaries. We will also inform you of any tax liability and the due date of payment.
Firstly, yes you should have some form of accounting software. Not only does accounting software make your bookkeeping easier and much more efficient saving you valuable time and money, but it will also track all of your critical financial data from which you’ll be able to measure the financial health of your business.
In most instances we can provide an accounting software file through our association with MYOB/ XERO that is appropriate to your business requirements. Online 24-hour login access can be made available to you from a windows application if required. If you have your own accounting software we can work with your software. Subscription fees may apply for cloud-based and other specialist software although there are a few good free accounting software apps available if you are a small business with a low volume of transactions.
Our clients often feel more comfortable having their own accounting software subscription and providing access to your bookkeeper and accountant. This makes it easy to change providers should the need arise.
At Cube Bookkeeping we use cloud based accounting software platforms. We are experienced in both MYOB and Xero. Our preferred accounting software is XERO due to its easy integration with other add on such as Project and or Receipt bank but we work with any accounting software package . If you are using another package or desktop application we can assist with upgrading and converting to cloud accounting software.
Cube Bookkeeping can assist with choosing the right software package and add ons for you. It will depend on the scale and nature of your business and future intent. We can advise on what level of subscription is right for your business.
Some considerations are:
- Does the system calculate all payroll requirements (PAYG, annual leave, long service leave etc.)?
- Does the system track stock, work in progress, orders, jobs and other task management requirements?
- Will the system be able to handle multiple bank accounts?
- Does the system need to handle foreign currency?
- Does the system track separate financial records for each business or department within the business?
- Does the system allow for interface with other computer systems such as online payments?
